Administrative Analyst

The Administrative Analyst will provide administrative support, coordinate events, and execute communications projects in service of ALF’s nonprofit mission. The Administrative Analyst reports directly to the Chief Operations Officer and Chief Executive Officer when needed. The Administrative Analyst is responsible for executing the day-to-day administrative details of the chapter to ensure organizational efficiency and quality program delivery. The Administrative Analyst performs a variety of tasks that integrate ALF’s administrative, programmatic, and member services systems. This includes nonprofit operations, event planning and execution, communications, and direct support to the Chief Executive Officer. The Administrative Analyst has a demonstrated ability to interact with diverse audiences and community leaders at various levels with professionalism and sensitivity in all relationships. The Administrative Analyst communicates and collaborates successfully with staff, Fellows, board members, and the public. The Administrative Analyst role is a full-time, non-exempt position. Some evenings will be required. 

Essential Duties and Responsibilities: 

Performs, with a considerable degree of independent accountability, the following tasks: 

Administrative
  • Directly support the Chief Executive Officer through project management, calendar management, research, and preparation of communications and materials
  • Provide excellent customer service in response to day-to-day phone and email inquiries; take accurate messages and relay information to the appropriate person
  • Coordinate scheduling among multiple participants with complex calendar requirements, including board meetings, committee meetings, and focus groups
  • Prepare meeting agendas and packets of materials; attend meetings and take accurate meeting minutes; report on meeting outcomes as needed and manage follow-up items
  • Manage membership databases and mailing lists to ensure accurate, up-to-date information
  • Support the tracking of budgets for campaigns such as dues, donations, program revenue, community partnership income, and events profit and loss, with ongoing reporting
  • Prepare and send invoices, track incoming payments, and process credit card payments
  • Enter, analyze and report data on membership, member participation in activities, demographics, and organization activities
  • Conduct research for programs and organizational activities; analyze and manage participation in surveys and studies
  • Create and maintain clear, accurate and concise records and reports
  • Order supplies and maintain equipment, ensuring that the office runs smoothly
  • Handle mail
Events
  • Coordinate and execute logistics of events and meetings for 8 to 500 people
  • Book venues or rooms; secure catering and other vendors; coordinate all preparation, including seating arrangements, registration information, signage, supplies, equipment, décor, etc.
  • Prepare event communications, including invitations, online registration pages, and reminders
  • Identify potential event sponsors and donors; prepare sponsorship/donation requests
  • Coordinate scheduling and communication with hosts, venues, sponsors, and participants
  • Record and analyze data on event participation, sponsorship commitments, and revenue
  • Provide on-site event support, such as staffing registration tables, providing service to guests, and coordinating with vendors (occasional evenings may be required)
  • Maintain the ALF-MVC master calendar of events and activities
Communications
  • Prepare and send polished, accurate communications to members, partners, and the public on behalf of the organization
  • Produce and execute campaigns, such as dues requests, fundraising activities, online engagement campaigns, gift acknowledgment, event invitations, etc.
  • Create annual membership directory
  • Manage communications for the First-Year Fellows program: prepare membership invitation packets, record responses, and prepare follow-up communications; accurately process and file program applications and tuition agreements
  • Develop content for the organization’s newsletter and social media
  • Manage and maintain organization’s website
  • Identify and coordinate guests and contributors to ALF-MVC’s productions and publications
  • Other duties as assigned

Qualifications and Job Requirements:

  • Bachelor’s Degree preferred, however extensive and relevant experience may be considered
  • Minimum two years working in an executive assistant or administrative support role, preferably in the nonprofit sector
  • Experience working with membership databases/constituent relationship management systems
  • A highly organized, detail-oriented self-starter with proven ability to set priorities, multi-task and track multiple projects simultaneously, and meet deadlines
  • Ability to communicate with diverse audiences at various levels with service-oriented professionalism, knowledge, discretion, and confidentiality in dealing with sensitive situations
  • Excellent interpersonal skills, including exceptional written and verbal communication, and active listening skills
  • Demonstrated ability to work independently and within a team
  • Ability to take initiative and exercise sound independent judgment within areas of responsibility
  • Demonstrated analytical skills and problem-solving to improve operational systems
  • Technologically proficient with fluency in Microsoft Word, Excel, and PowerPoint; project management tools such as Asana; constituent relationship management systems including Salesforce, Constant Contact, and Google Groups; email, internet searches, internet-based communication, and other programs, as needed
